This part-time position provides and coordinates the administrative and communications work of the Calgary Alliance for the Common Good. The Calgary Alliance is a community organizing alliance of 28 organizations that work together to create a more just and compassionate Calgary. Communication, graphic design, administration, and team-building skills are essential.

Time: 15 hours/week
Wage: $1573/ month (Calculated at $22 plus 10% in lieu of pension and benefits =$24.20/h)
Vacation: 3 Weeks vacation, 1 week sick leave per year. 
Overtime: Taken as time in lieu. 

Team and Accountability: Reports to the Lead Organizer, and in the absence of the Lead Organizer, a person designated by the Board of Directors. The administrative coordinator will meet regularly with the lead organizer/point person to develop a work plan and prioritize items from the list below and/or other responsibilities as assigned. Works alongside other organizers and community leaders to provide support as appropriate.

Responsibilities
A work plan will be developed to further articulate and set out ongoing priorities and, when necessary, modify the below responsibilities.  Key performance indicators are in brackets. The Administrative Coordinator will either carry out or work with volunteers/staff to support the Calgary Alliance for the Common Good in the following areas:

Coordinate Communications – Work with volunteers to do the following: 

  • Social media posts, editing, responding and formatting. (Growth in social media followers)
  • Assist with/edit newsletter and email blasts (KPI: Timely, follow-up engagement, growth in subscribers)
  • Send out press releases and media relations (KPI: media coverage of actions and leaders)
  • Update website (KPI: Website is up to date and has information needed by leaders and the public)
  • Manage Nation Builder (KPI: Usage by organizers and leaders as useful tool)
  • Video production and graphic design support, as appropriate (KPI: Beautiful and engaging communication pieces. 

Fundraising and Events

  • Support event planning and coordination (KPI: Events are well run and supported)
  • Manage registrations. (KPI: Clear registration process that records appropriate information)
  • Assist in managing individual donors. (KPI: Growth in Individual Donnors, with team)
  • Thankyous to donner under $500. (KPI: Thankyou sent out within 2 weeks of donations)

Operations

  • Meeting planning and preparation (KPI: Meeting have appropriate support and communications)
  • Manage events/meeting calendar (KPI: Shared Calendar for events and communication of events)
  • Invoicing and membership management (KPI: invoices sent out within a month prior to renewal and reminders sent out after between 60-90 days after renewal date – if not received)
  • Data entry (KPI: Appropriate data is recorded and communicated)
  • Support for projects (KPI: Support for projects is defined in process)
  • Support for bookkeeper and treasurer (KPI: Timely and accurately performed tasks when assigned)
  • Other responsibilities as assigned.

Lead Organizer support (KPI: Done as requested, in a timely and appropriate manner as defined by the lead organizer. 

  • Email management

  • Assist with proposal writing 

Support the Development of Calgarians for the Common Good (CCG)
Support the Calgarians for the Common Good as an organization of individuals within the Calgary Alliance.
(KPI: Growth of the membership of the Calgarians for the Common Good, Emergence of Strong Leaders from Calgarians for the Common Good, Movement toward financial sustainability of CCG. Long term goal is 300 members.)

Skills required or willing to learn. 

  1. A strong team member who is self-directed and reliable.

  3. An ability to use Facebook, twitter and other social media
  4. Graphic Design

  6. Microsoft office and Google suite programs
