The Communications & Administrative Officer leads day-to-day communications activities while providing administrative, event, program, and limited finance/fundraising support. This part-time role is ideal for a skilled communicator who can balance recurring communications tasks with occasional cross-team support. We deliver research, policy and practice solutions to improve integrity and development outcomes primarily under the banner of our flagship program, the Corruption, Justice & Legitimacy Program. We are a small, collaborative team seeking a highly organized, proactive professional to lead communications and support smooth organizational operations

Key Responsibilities

Communications (45%)

  • Draft quarterly Brightspots newsletter
  • Maintain LinkedIn (2–4 posts/week) and update website
  • Manage HubSpot and email distributions
  • Support publication production (proofreading, formatting, coordinating designers/editors) and promotion
  • Post monthly blogs and promote outputs in collaboration with the Blog Editor
  • Track and report engagement metrics

Event Coordination (25%)

  • Coordinate logistics for virtual and in-person events/conferences
  • Schedule meetings, including monthly staff meetings
  • Manage travel arrangements (insurance, visa letters, shared calendars)

Administration (10%)

  • Coordinate consultant contracts and external vendors
  • Maintain internal policies, procedures, templates, and forms
  • Provide general administrative support

Program Support (15%)

  • Assist with donor reporting (narrative and financial)
  • Conduct academic and online research
  • Prepare project schedules and support deliverables as tasks arise

Finance & Fundraising Support (Limited/Periodic)

  • Assist with accounts payable/receivable, expense reports, invoices
  • Support general ledger updates and year-end tasks
  • Conduct funding research, support concept notes/proposals, liaise with partners
 

Required Experience & Skills

  • Communications: newsletters, LinkedIn, website updates, publication workflows
  • 2–3+ years experience in non-profit, research, or program-driven organizations
  • Meeting/event logistics, travel coordination, vendor coordination,
  • CRM or marketing automation (HubSpot preferred)
  • Strong written communication, proofreading, and formatting
  • Microsoft 365 proficiency; basic project coordination skills
  • Ability to prioritize and manage tasks independently with strong multi-tasking skills
  • Highly organized, proactive, collaborative, adaptable and great with technology

Ideal:

  • Basic finance/bookkeeping (AP/AR, invoices, ledgers)
  • Fundraising support (prospect research, proposal assistance)
  • Academic/online research
 

Education

  • Bachelor’s degree in international relations, political science, international development, or business administration, communications or related field preferred

The Communications & Administrative Officer leads day-to-day communications activities while providing administrative, event, program, and limited finance/fundraising support. This part-time role is ideal for a skilled communicator who can balance recurring communications tasks with occasional cross-team support.
The role is integral to the operations of the organization and requires someone who can be responsive during work hours.  While there are no set work hours, there is a strong preference for the hours to be consistently spread throughout the week (e.g. 3 hrs/day).  The individual must be available for in-person and virtual meetings during work hours.
