Description
The Calgary Food Bank is the first line of emergency food support for families and individuals facing crisis. As the city’s main charitable food hub and the most accessible food bank, we have the capacity to serve families, individuals, and organizations to fight hunger. We are currently recruiting a Gift Stewardship Coordinator to join our Community Engagement team. Our Community Engagement team is responsible for Communications, Fund Development, Donations Processing, Events, and Research. Last year (September 1, 2023, to August 31, 2024), the Community Engagement team worked collaboratively to raise $22.1 million in funds and $44.7 million in food donations.
Reporting to the Fund Development Manager, the Gift Stewardship Coordinator is a primary role at the Calgary Food Bank who handles donor related customer service, processing requests and donations, receiving feedback from stakeholders, maintaining regular and monthly donor stewardship and supporting the Fund Development department in the overall strategic fundraising portfolio. The role handles wills, estates and legacy giving with a responsive and strategic focus. Reporting, providing responsive insights and understanding annual and seasonal nuances of donor activity are key aspects of the job. The successful candidate will have a passion for donor stewardship and relationship building, providing timely and professional responses to requests, demonstrating their commitment and supporting the values of the Calgary Food Bank. Attention to detail, and the ability to collaborate as a member of a dynamic team is key to this role.
Responsibilities:
- Answer and respond to donor requests in a timely and professional manner, specifically focused on receipting or assisting with making a donation
- Is the primary contact for donors who are delivering a donation in person
- Is the primary contact for donor inquiries made by phone
- Works closely with the Stewardship Coordinator to re-engage and steward lapsed and core ($1-$1000 Annual) level donors
- Works with the Stewardship Coordinator to build legacy engagement from all donors
- Monitor stakeholder and fundraiser relationships to enhance fundraising opportunities
- Works with colleagues and leadership to provide reports, strategic insight and stewardship plans for the lapsed and core ($1-$1000 annual) level donors
- Understand the funding needs and priorities through knowledge of Calgary Food Bank programs
- Maintain accurate records within donor database(s)
- Plays a key role in understanding and troubleshooting Fund Development and Events staff to allocate donations correctly
- Engages with Community Engagement users to clarify donation entry processes and requirements
- Supports the acquisition and/or creation of campaign coding
- Creates batches of revenue entered in Salesforce for the entry to the accounting software
- Produces charitable tax receipts for donors of food and funds, and stewards the tax receipt through the organization for thanking
- Fully participates as a CE team member to work on emerging needs of the Community Engagement team
- Work collaboratively with the fund development team to process donations and provide timely and accurate thank-you letters and receipts
- Maintain key donor systems such as Canada Helps, Benevity, etc.
- Oversight of monthly donor program
- Monitor and process wills and estates and legacy giving portfolios
- Researches and recommends grants and foundations to the Stewardship and Corporate Partnership Coordinators; assists in the application and grant writing process
- Involved in all aspects of the Community Engagement Department
Education and Experience Required:
- Strong understanding of the Salesforce platform
- Understanding of CRA guidelines of tax receipting with the commitment to be up to date and committed to learning new charity and tax receipting policies

- Graduate of a relevant degree or diploma in fundraising, public relations, non-profit management from a recognized college or university is required
- Minimum of 2-5 years of experience in donor relations or stewardship role
- Knowledge of fundraising principles and best practices
Skills and Capabilities:
- Excellent written and verbal communication skills
- Strong interpersonal skills with the ability to build and maintain relationships with a diverse range of people
- Proficiency in Microsoft Office Suite and prospect research tools and methods
- Proficiency in Salesforce software is desirable
- Highly organized with the ability to manage multiple projects simultaneously
- Attention to detail and a commitment to accuracy
- Ability to work independently and as part of a team
- Action oriented, and demonstrated ability to take initiative, and problem solve
Working Conditions and Physical Requirements:
This is a regular, full-time position working, 40 hours per week (including a half hour unpaid lunch break) 5 days a week, 8 hours per day. Working conditions are normal for an office environment, however, work is also required in the warehouse setting and as such you must be able to lift to 25lbs. The qualified candidate must be open to working outside of normal business hours and weekends.
