We are seeking a Receptionist / Office Administrator experienced in handling a wide range of administrative support-related tasks while being able to work independently or within a team. The successful candidate must be well organized, personable and enjoy the administrative challenges of supporting a small office of diverse people and programs. Solid written and verbal communication skills, decision-making ability and attention to detail are equally important.

Position Purpose:
In this role you will be responsible for supporting RESET by providing administrative/secretarial support for the organization and for the program. The position requires strong interpersonal and communication skills. It also calls for flexibility, excellent multi-tasking skills, and the ability to work well with all levels of internal management and staff. The ability to maintain a high level of accuracy and confidentiality are essential attributes for efficient and effective operation of the organization

REPORTS TO:  EXECUTIVE DIRECTOR

Responsibilities:
Fundraising & Communications Coordination/Support 

  • Track and maintain a pipeline of foundation proposals and reports; support development of grant proposals and reports to foundation partners; and conduct foundation prospect research as necessary. 
  • Support developing year-end and other fundraising appeals; record donations, initiate and track donor acknowledgements in donor database; support coordination of special events (when in-person events resume) as needed. 
  • Support drafting e-blasts; develop and draft web content and social media posts as necessary; support communications campaigns as needed; maintain records of YSRP’s media appearances and mentions as they occur; tag and file YSRP’s original photography and video content as needed. 
  • Conduct research on topics related to fundraising, development, communications and marketing strategies as requested.

Operations & Team Coordination/Support 

  • Perform office management duties on- as needed: provide light IT training and troubleshooting as needed; and maintain office supplies. 
  • Create a welcoming environment, attending clients, answer phones, and direct inquiries.
  • Willingly help co-workers with tasks such as mail, ordering supplies, photocopying, typing and other duties as assigned as your confidence and familiarity with the role develop.
  • Provide a timely response to all inquiries via phone, by email and face to face.
  • Leaving messages for team members and forwarding emails.
  • Other administrative and reception duties as requested.
  • Review, organize and prioritize incoming maintenance request orders
  • Scheduling the required work to be done either in-house or through the utilization of contractors
  • Obtain vendor quotes for products and services as needed
  • Monitors the condition of the residential facilities and request repairs/maintenance as needed
  • Address maintenance requests promptly and professionally within 48 hours
  • Conduct routine property inspections (including common areas, building amenities, and tenant suites), initiating repairs and/or corrective measures utilizing maintenance volunteer and contractors.
  • Discuss completion status of maintenance request orders weekly with Executive Director
  • Perform maintenance supplies inventory management
  • Assist with seasonal work orders (e.g. painting houses, snow removal in winter, etc.)
  • Perform other projects and duties as assigned or required by the Executive Director.

Qualifications:

  • Post-Secondary Education is an asset
  • First Aid, CPR, Vulnerable Sector Police Information Check required.
  • Minimum Class 5 License required with a driver's abstract showing a clean driving record with a minimum of 3 years uninterrupted insurance history.

  • Strong communication and interpersonal skills to collaborate with a broad range of stakeholders
  • Excellent project management and organizational skills
  • Strong computer software skills including Microsoft Office
  • Strong administrative, planning and reporting skills
  • Ability to be a strong team player as well as work independently
  • Strong oral and written communication skills are essential
  • Strong level of professionalism and maturity
