PURPOSE OF THE POSITION

The Events and Sponsorship Coordinator ensures the success of the event and sponsorship programs at Radiance. The role reports to the Director of Philanthropy and Community Engagement and is an active collaborator with the various program departments of the organization. WHAT YOU WILL BE ACCOUNTABLE FOR…

  • Act as the first point of contact and liaison for third-party fundraising initiatives, responding promptly and professionally to telephone, email, and website inquiries.
  • Provide an exceptional experience to third-party fundraisers so that they are well supported and can fulfil their philanthropic goals. This includes sharing tools and resources, providing information about programs that require funding, overseeing AGLC licensing requirements, providing event material (developed by internal Communications team), recruiting and supervising volunteers, attending events, troubleshooting as required, and facilitating stewardship through meaningful touchpoints (cheque presentations, certificates, impact reports and other celebrations).
  • Identify and pursue opportunities to further engage third-party fundraisers and their network in other Radiance activities, such as sponsorship opportunities, event invitations, etc. Conduct prospect research and cultivation activities to identify new fundraising opportunities.
  • Work with the Philanthropy and Leadership team to assess the need and potentially develop and coordinate an annual Radiance signature event.
  • Liaise with vendors, exhibitors, and volunteer committees during the event planning process to ensure execution.
  • Manage all volunteer requirements to support both Radiance signature and third-party events.
  • Maintain event budgets.
  • Support the team in meeting or exceeding annual fundraising goals by assisting the execution of various fundraising events and programs in alignment with Radiance’s current philanthropy plan.
  • Work with team members and third-party event hosts to identify and maximize event revenue generation opportunities (e.g., ticket sales, silent auctions, raffles, table sales, etc.).

Home-Suite-Home (Adopt-a-Suite) Program

  • Promote the program with current and potential donors.
  • Coordinate the program in collaboration with the Philanthropy team.
  • Regularly communicate with donors.

Adopt-a-Family Program & Holiday Partnerships

  • Organize and coordinate program in coordination with Philanthropy team, following approved policy and procedures. This includes communication with donors and liaison with staff, managing and scheduling delivery, and appropriately thanking donors.
  • Coordinate Food Security Programs
  • Promote Radiance’s food security program needs with current and potential donors.
  • Act as a first point of contact for program volunteers.
  • Coordinate with Philanthropy and Program team to guarantee essential items are stocked.

Partnerships

  • Cultivate and manage relationships with community organizations and businesses to secure valuable donations and sponsorships, including food, equipment, and other essential resources.
  • Coordinate with community stakeholders to organize donation drives and in-kind contributions that align with Radiance's needs and mission.
  • Solicit and steward donors as needed in coordination with Philanthropy team.
  • Maintain and evolve plans and procedures for volunteer recruitment to support program needs.
  • Recruit, interview, screen potential volunteers in accordance with volunteer policies and procedures.
  • Develop corporate or community group volunteer opportunities to engage the donor community in Radiance’s mission.
  • Coordinate service projects or special programs utilizing volunteers who work as a group, arrange for communication with applicable staff, purchase of supplies, and supervision of volunteers.
  • Maintain records in the donor database (Donor Perfect) by entering pertinent information on third-party fundraisers, event attendees, volunteers, and prospects.
  • Assist Philanthropy team with stewardship of existing donors, tax receipting, and telephone donations.
  • Promote Radiance Family Services by acting as an ambassador of the agency.
  • Develop and report on key metrics and provide analysis to continuously improve and innovate the volunteer and programs.
  • Update and track volunteer outcomes in the database for reporting purposes.
  • Other duties as assigned by direct supervisor.

QUALIFICATIONS …

  • Post-secondary diploma or degree with a specialization in fund development, event management, volunteer management, business administration, not-for-profit management, social innovation, or other relevant areas. Suitable combinations of education and experience will be considered.
  • With a minimum of three (3) years of experience in fund development, events, or community initiatives, you have an excellent track record of building and nurturing relationships with clients and/or donors. Specific understanding of fund development principles is required.
  • Minimum of one (1) year experience as a volunteer in a non-profit agency is an asset.
  • Proficient in MS Office applications. Experience using databases (e.g., Donor Perfect) is a definite asset.
  • Passionate about events, volunteering, self-motivated, and a creative problem solver.
  • Possess strong time management skills with ability to manage competing deadlines and multiple projects at once.
  • Highly organized individual with good written and oral communication skills.
  • Highly developed interpersonal skills and comfortable engaging with a variety of stakeholders.
  • Must have a cheerful outlook, be amiable, and a collaborator.
  • Proven training, coaching, and mentoring skills are essential.
  • Proven skills to work with vulnerable population are required.

JOB REQUIREMENTS…

  • Clear Police Security/Vulnerable Sector Check to be maintained.
  • Clear Child Intervention Check to be maintained.
  • Monday through Friday business hours, with some weekends and evening shifts throughout the year.
  • Some travel may be required for various events.
  • Standing, bending, crouching, and lifting required.
