Besa Global: Administration and Communications Coordinator
Besa Global is a young, international development organisation, based in Calgary, working on issues related to conflict and endemic corruption. The Administration and Communications Coordinator role is an excellent opportunity to become a key member of an operational team with significant scope for increasing responsibility.  

Position Overview: This full-time role is multi-faceted and requires an experienced individual who is detail-oriented, highly organised, able to take initiative, relishes a start-up culture mentality and can manage multiple work streams. The successful candidate is someone who holds themselves to a high standard of work quality, is a fast learner, good with technology, flexible and would like to grow within a mission-driven organisation.  
Position requires a minimum of 4 years experience in an administrative/finance/operations capacity, a bachelor’s degree and experience with communication platforms e.g. Linkedin, Wix, Hubspot etc. The role will be in-person and could evolve to a hybrid (3 days a week in office) in time based on performance. This is a 2-year contract position with possibility for extension.   For the right candidate, we would consider a 4 dy/week role (with adjusted salary).

About Besa Global: Besa Global (HOME | Besa Global) is a social enterprise, located in Calgary, committed to the issues of effectiveness and accountability in contexts of fragility and conflict. We innovate by combining our expertise in anti-corruption and peacebuilding with our technical know-how in context analysis, program design, and evaluation. For several years, the Corruption Justice & Legitimacy Program has been Besa’s flagship program, advancing systems thinking, exploring the nexus of conflict and corruption and examining  the role of social norms as a driver of corrupt practices. We share our learning through publications, partnerships, and our Corruption in Fragile States Blog.  
We are a small team, with our ED and Finance Director based in Calgary.  The rest of the team works from different countries/time-zones.  We work in a rapidly changing environment, where the realities of philanthropy often require tight deadlines and creative problem solving.

Requirements: Experience & Attributes
Experience:

  • Bachelor's degree
  • Minimum 4 years work experience in an administrative/finance/operations capacity
  • Experience working in a small or mediumsized nonprofit or start-up environment
  • Experience updating websites (ideally Wix) and posting to Linkedin
  • Experience with email platforms (e.g. Mailchimp, Hubspot)
  • Experience organising meetings, events and travel
  • Experience formatting reports and ppt to a professional standard
  • Fluency in MS Teams, with strong Outlook and Excel skills
  • Excellent people skills
  • Excellent English written and oral communication skills

The Role
Finance and Administration Support

    1. Support Finance Director in a variety of functions from reviewing expense reports to compiling invoices to updating contracts tracker. 
    2. Co-ordinate and provide support to program activities such as meeting planning & follow-up, event co-ordination, travel logistics and quarterly planning processes. Provide support to Executive Director as required.
    3. Support donor reporting, track compliance with grant requirements, support proposal writing and manage donor/client gateways.

Communications:  Maintain a communications calendar, update websites including blog posts, post on Linkedin, professionally format documents and PowerPoint presentations, manage newsletter and email blast distribution, and manage communications consultants e.g. graphic designer, video production.

People Co-ordination: Issue contracts for signature, manage recruitment platforms, provide initial onboarding tasks to new interns/team members and consultants, co-ordinate Scope of Works and amendments.

Office Management: Educate team and ensure compliance with existing policies and procedures, identify improvements and develop new processes; act as primary contact with IT Consultant, purchase supplies, maintain equipment.
