About Helping Hands
Helping Hands Society of Cochrane and Area is a volunteer-driven nonprofit dedicated to building a stronger, more connected community by mobilizing volunteers to support individuals and families in need. Our programs address food insecurity, isolation, and access to essential services throughout Cochrane and western Rocky View County. We work collaboratively with partners, donors, and volunteers to create meaningful local impact through practical help, compassion, and community care.

About the Position:
This new role will provide administrative and operational support to ensure the effective delivery of our client-centred programs and coordinate client intake, volunteer scheduling, service delivery logistics, and program data management.  You will play an essential role in ensuring clients are connected to the appropriate volunteer-based support, maintaining accurate records, and contributing to program evaluation and reporting.

Work Structure
This position operates under a hybrid work model (partly in the office and partly from home), with the exact split of time varying based on operational needs.

Employment Details
This is a full-time position under a two-year contract, with the possibility of renewal based on program funding availability and operational needs.  The position is structured as a 35-hour work week, typically Monday to Friday. Occasional evening or weekend work may be required to support program activities, community events, or partner meetings.  The salary for this position is $38,220 annually. The role also includes extended health benefits and an annual professional development allocation to support continued learning and skill development. 

Key Responsibilities
Client and Program Administration

  • Manage client intake processes, including receiving service requests and ensuring accurate documentation
  • Coordinate scheduling between clients and volunteers across multiple programs (currently Volunteer Driver Program, Summer Do Crew, Snow Helper Removal, Movers With Heart, and the Caring Neighbours Program) to ensure timely and effective service delivery
  • Maintain accurate client and volunteer records through the organization’s database and internal tracking systems
  • Support the preparation of program reports, program statistics and service delivery metrics

Client Engagement and In-Home Visits

  • Assist with in-home client visits to assess needs, confirm service eligibility, or support service coordination

Community Participation

  • Represent Helping Hands at community events, partner meetings, or interagency gatherings when requested

Administrative & Office Duties

  • Provide guidance and supervision to volunteers attached to the programs
  • Identify and communicate any improvement opportunities within the programs

Who You Are
We are seeking a candidate who is organized, compassionate, and comfortable working in a fast-paced community service environment. The ideal candidate demonstrates a strong commitment to respectful client service and the ability to manage multiple administrative tasks while maintaining a high level of accuracy, professionalism and confidentiality.

Personal Attributes

  • Patience, empathy, strong interpersonal communication skills and comfort when interacting with clients, particularly seniors and individuals who may be experiencing vulnerability or social isolation
  • Ability to build rapport and trust with clients while maintaining professional boundaries and confidentiality, often while working independently

Technical and Operational Skills
Candidates should demonstrate the following technical competencies:

  • Proficiency in Google Workspace, including Gmail, Google Calendar/Docs/Sheets
  • Experience using Better Impact or similar volunteer/client management platforms or customer relationship management systems (CRM)
  • Ability to maintain organized digital records and track program activity information

Experience

  • A year or 2 years of relevant experience, which could include working in a non-profit organization, community organization, or social service environment
  • Experience supporting programs that serve seniors, volunteers, or vulnerable populations
  • Experience administering or coordinating client intake, service scheduling, or case tracking
  • Experience coordinating volunteers or supporting volunteer-based service delivery models
  • A combination of education in social work, human services, community development, non-profit management, administration, or a related field and practical experience

Screening and Employment Requirements
The successful candidate must meet the following conditions:

  • Ability to obtain a clear RCMP Vulnerable Sector and Criminal Record Check, to be maintained throughout employment. Clear Vulnerable Sector and Criminal Record Check obtained in the last 12 months will be accepted
  • Access to reliable transportation to attend meetings and occasional client home visits
  • Ability to comply with Helping Hands’ remote work policies
  • Access to a secure, high-speed internet connection, a safe and quiet workspace suitable for conducting phone calls and confidential client coordination
  • Demonstrable fluency in English (oral and written) is mandatory.
