The Calgary Food Bank is the first line of emergency food support for families and individuals facing crisis. As the city’s main charitable food hub and the most accessible food bank, we have the capacity to serve families, individuals, and organizations to fight hunger.  

We are currently recruiting a community-minded, team-oriented individual to join our Operations team as a Volunteer Resources Assistant, Summer Student. This position supports volunteerism at the Calgary Food Bank through the active administration of Volunteer Resources policies and procedures.

We are not your typical warehouse! We work with up to 300 volunteers per day. Volunteers answer our emergency food hamper request line, sort donations, build and distribute hampers, and deliver food just to name a few of the 25 volunteer roles. A key responsibility of this position will be supporting and providing leadership to our incredible volunteers.

Primary Responsibilities:

  • To support volunteerism through active administration of procedures, processes and resources defined in the Volunteer Involvement Model and VR procedures.
  • Responsible for the recruitment, orientation, retention and evaluation of volunteers reflecting a priority need to function across departmental boundaries.
  • Centralized scheduling functions for all aspects of volunteerism.
  • To ensure all volunteers are aware of and compliant with the Calgary Food Bank’s Health and Safety program.
  • Recruit and manage volunteers for the Volunteer Resources Team.
  • Support volunteer position satisfaction.
  • Projects as determined and defined by the Volunteer Resources Manager.

Tasks Performed:

  • Respond to enquiries (phone, in person, or email) regarding volunteering
  • Schedule all volunteer shifts (individuals and groups)
  • Daily liaison with departments with regard to volunteer attendance
  • Informing volunteers of closures, schedule changes, media presence, events etc.
  • Welcoming new volunteers and assisting them with first time login, paperwork and Health and Safety information
  • Engaging with volunteers to promote a friendly and professional environment
  • Orientate prospective volunteers
  • Plan and implement volunteer recognition functions.
  • Maintain the volunteer management database.
    • Data entry of volunteer information.
  • Provide volunteer shuttle van coverage when necessary

Decision Making and Leadership Capabilities:

  • As a key volunteer contact, support, liaise and lead volunteers as required.  This is a key element of this position.
  • Balance the needs of the volunteers with those of the organization
  • Ability to work with little supervision

Education and Experience Required:

  • Some post-secondary education in volunteer management, administration, customer relations or adult education.
  • Minimum of 2 years related work experience.
  • Experience with a volunteer management system would be an asset.

Skills and Capabilities:

  • Possess a high level of inter-personal skills, ability to communicate with the full range of stakeholders.
  • Strong computer skills with the ability to problem solve minor software issues.
  • Very detailed orientated with an understanding of the importance of accuracy 
  • Proven ability to work in a fast-paced environment; ability to multi-task is a must

Working Conditions:

This is a temporary full-time position, working 37.5 hours per week. Working conditions are normal for an office environment and will require occasional visits to the warehouse.   

Please note this is a Canada Summer Jobs paid position that is contingent upon grant funding. To be eligible for this position you must:    

  • Be between the ages of 15 and 30 years at the start of employment.    
  • Be a Canadian citizen or a permanent resident.    
  • Be legally entitled to work in Canada.
