This position is responsible for and is stationed at the front desk in the Luna Child Space. As part of the Victim Services team, the Child Space Coordinator represents the purpose and values of the organization and works directly with children, youth, families, and visitors attending Luna.

Role Description 

 As the first point of contact, the Child Space Coordinator ensures that all individuals attending Luna receive a warm and welcoming introduction to the Centre, and smooth connections to their Multidisciplinary Team (MDT).   

This position requires an energetic person with exceptional rapport building skills who will show kindness, tact, diplomacy, and empathy, while using a compassionate and trauma informed approach when working with children, youth, and families. In addition, the successful candidate must be able to balance service delivery, administrative tasks and operational support to Luna partners. 

Duties and Responsibilities 

Family Engagement  

  • Promote a safe and welcoming environment for children, youth, families, visitors, and staff. 

  • Greet and welcome guests and ensure their comfort while in the child space and waiting area.  

  • Utilize relationship building skills to build rapport with children, youth, families, and the MDT.  

  • Ensure the child space and waiting area is clean and professional in appearance. 

  • Liaise regularly with the Multidisciplinary Team to ensure exceptional service delivery for children, youth, families, and visitors.  

  • Actively and consistently adhere to security protocols to ensure the safety and well-being of all visitors and staff.  

  • Assist with the engagement and supervision of children in the child space as required. 

  • As a member of the Victim Services team and broader Multidisciplinary Team, provide occasional support to the Child Life Specialist as well as Family Support and Court Support staff and partners with various aspects of a child, youth or family’s experience at the Centre.  

  • Work alongside and support volunteers within the child space and Victim Services volunteers. 

  • Contact families to confirm appointments and/or follow up following appointments.  

  • Collect and enter accurate data in the Client Database as required.  

  • Provide occasional / infrequent support outside of regular business hours for urgent cases.  

Administrative 

  • Maintain accurate records and create reports as required.  

  • Maintain sufficient supplies for the child space and waiting area.  

  • Maintain an accurate and up to date position manual and provide training to staff and volunteers to provide coverage support.  

  • Answer, screen and forward incoming phone calls. 

  • Receive, sort, and distribute daily incoming and outgoing mail/deliveries. 

  • Provide administrative support to other departments as required, including but not limited to supporting with data entry, intake packages, and general office tasks.  

Education & Experience 

  • Previous experience working directly with vulnerable populations and people who have experienced trauma. Experience working with children is preferred.  

  • A degree or diploma in early childhood education, social work or similar is an asset.  

  • Additional certification and/ or experience in office administration is an asset. 

  • Must pass and maintain a clear Enhanced Security Clearance and Children’s Services Intervention Record Check.  

  • Additional related training and experience is considered an asset (Ie: First Aid/CPR; Trauma Informed Care; Indigenous Cultural Competency; Diversity, Equity & Inclusion, etc.) 

Qualifications & Skills 

  • Knowledge of trauma and its effects on development in children.  

  • Comfortable around children who may exhibit active, excitable, emotional, and/or introverted/noncommunicative behaviours. 

  • Ability to address/engage children and youth in age-appropriate ways which help promote feelings of safety. 

  • Experience with and passion for working with children, youth and families with diverse cultural identities and backgrounds.  

  • Excellent verbal and written communication skills; the ability to communicate clearly and concisely, handle sensitive information and maintain confidentiality.  

  • Proficiency in Microsoft Office Suite with fast, accurate keyboarding skills 

  • Ability to be resourceful and proactive when issues arise. 

  • Multitasking and time-management skills, with the ability to prioritize tasks. 

  • A self-starter with the ability to work independently with minimum supervision.  

  • Strong self-awareness and ability to set relationship boundaries.  

  • Established personal wellness practices to support ongoing wellness.
