The Children’s Cottage Society provides crisis care, prevention and early intervention programs to over 3,500 children and their families every year. The Cottage is dedicated to promoting child growth and wellbeing in safe, nurturing environments, and strengthening families through onsite programs at our Child & Family Centre and support services in the community, grounded in our belief that resilient children blossom in healthy families.
We are looking for a dynamic and creative professional with database management and supervisory experience to join our Leadership Team. The Data Entry Coordinator oversees our client data systems and processes, provides guidance and support to a Data Entry Clerk, analyzes data and generates outcome information for reports to funders and donors, and facilitates database training for program staff. The Data Entry Coordinator is an integral part of strategic planning and development for the Society. This position is Full Time (36 hours per week), and is based at the Children’s Cottage Child & Family Centre: 1804 Home Road NW, Calgary
QUALIFICATIONS:
- Bachelor’s degree in a field relevant to this position.
- A minimum of three years of experience in managing client data bases, data collection, analyzing data, and generating data reports in the human services/nonprofit sector.
- A minimum of two years of supervisory or leadership experience
SKILLS AND ABILITIES:
- Experience designing and managing a client data system. Knowledge of the NewOrg, HMIS and FSII platforms are assets, as well as familiarity with the Outcome Star tools and Power BI data analysis.
- Experience with data entry and statistical analysis for human service programs.
- Ability to educate and support staff regarding complete and accurate online data collection.
- Experience generating outcome reports based on data collected.
- Experience supervising data entry staff.
- Strong oral and written communication skills.
- Ability to work in a very organized, timely, accurate and detail-oriented way.
RESPONSIBILITIES:
Reporting
- Provide statistical data to complete all annual reports for funders and donors, as well as annual impact report to the community
- Support the CEO and Program Directors in preparing reports to the Board.
- Provide data and outcome information to support fundraising and communications.
Data Collection
- Coordinate the collection of data from all program areas.
- Oversee the day-to-day functioning of agency client database which includes:

- Managing staff access to the database
- Maintaining and updating the client database
- Fixing data entry errors as required
- Building custom reports as required
- Monitoring and reporting on data quality and completeness
- Creating and updating security settings and processes for the database

- Serve as primary contact and liaison with the database platform providers as needed.
- Ensure timely completion of data entry into external databases (e.g. FCSS FSII system, HMIS).
Training
- Support and educate agency staff as required re: client database usage, data collection and direct data entry, and generating reports.
Supervision
- Provide ongoing supervision, guidance and support to the Data Entry Clerk.
Physical and Environmental Demands

- Ability to sit at a desk and use a computer for long periods of time
- Repetitive motions with the wrists, hands, and fingers
PRE-EMPLOYMENT REQUIREMENTS:
- A Police Information Check is required upon commencement of employment.
- A Child Intervention Record Check is required upon commencement of employment.
- Applicants must provide proof of qualifications prior to finalizing the offer of employment. Education obtained from out of country must have documentation of equivalency.
- Must be eligible to work in Canada.
