Description
The Administrator is a part time role of 5-15 hours a week depending on the time of year with work taking place in both Bragg Creek and Calgary, including work on-site in the Moose Mountain area as required. The position reports to the Chair of the Board of Directors. Key duties include:

Administration: Support day-to-day operations of MMBTS including responding to requests for information, supporting coordination of projects and plans, and managing the info@mmbts.com email address. Track and manage all corporate reporting requirements.

Board Support: Support the MMBTS Board and committees and take the initiative to keep action items and ideas moving . Work with the Chair and Secretary to coordinate, organize and attend Board meetings (ex-officio capacity- non-voting). Following board meetings, track progress on action items, including connecting with individual Board members to provide any support required

Events and Races: Support the board to plan and execute all events including member and community events. Support the Events Director in planning events, setting up required gear and materials and attending events. Support the Race Director to plan and run races, including planning, gathering and bringing required gear and materials, attending races to support registration and other requirements.

Finance: Manage all expenses and budget tracking in Quickbooks under the direction of the Board Chair and Treasurer. Track expenses against the annual budget, lead bookkeeping and payroll activities, and financial policy development. Under direction, support regular reporting on the budget to the Board.

Sponsorship: Lead Sponsorship work under board direction. Respond to sponsor inquiries, track sponsorships, and work with the Sponsorship Director and Treasurer to ensure invoicing is up to date. Seek out new sponsors, and plan sponsor events.

Fund Development: Research possible grants and present to the board for consideration and approval. Support development of grant applications and draft all required grant reporting to funders for Chair approval. Responsible for tracking all reporting requirements. Manage and lead any casinos and bingos including planning and recruiting volunteers.

Trails: Under direction of the Trails Director, support implementation of the Trails Plan, and support administration related to trail building and maintenance.

Volunteer Management including Volunteer Coordination and Support: Work with the Board to assess all volunteer needs, lead the recruitment, communication and support for volunteers including maintaining a contact list, and reaching out to recruit and coordinate volunteers when required. Develop new ideas for how to engage, recruit and celebrate volunteers.

Branding: Be a brand ambassador for MMBTS within the community.

Policy: Implement policies and procedures approved by the board and recommend new policies and procedures for consideration by the board.

Communications: Under direction of the Communications Director, support all external communications, including website updates, email, marketing collateral, newsletters, and social media.

Relationships:

Build and maintain relationships with, but not limited to, members, sponsors and supporters, government key contacts, the town of Bragg Creek, the Bragg Creek Chamber, Tourism Alberta, the TsuuT’ina Nation and other Treaty 7 nations as appropriate, other trail user groups and trail groups including the Bragg Creek Trails and other user and supporter groups.

Build strong and positive relationships with staff, volunteers, and members. Liaise and coordinate with other MMBTS staff including trail crews as needed

Participate in networking and community relationship activities and meetings on behalf of the organization, while cultivating strong relationships with key stakeholders across MMBTS and the community.

Promote awareness of MMBTS’ mission, values and goals within the community and with other stakeholders.
Qualifications to be considered

Strong leadership skills- Comfortable leading projects and leading a team of volunteers.

Experience in a non-profit setting including working with non-profit boards, members and funders is preferred.

Self starter that is well organized and keeps work moving independently.

Comfortable working with a volunteer board of directors. Recognizes that Board members are volunteers, response times may vary, and support and reminders to complete tasks may be required.

Comfortable taking initiative to explore new ideas and bring them to the board

Knowledge of trail building / maintenance fundamentals is preferred.

Experience researching new grant opportunities and grant writing and reporting.

Compensation
Compensation is at an hourly rate. The position is for 5-15 hours a week, with the possibility of more hours in the future depending on funding levels and projects and program requirements. When work is required at Moose Mountain, mileage reimbursement is available.
Availability and Location
The majority of work takes places remotely and independently, with in person board meetings in Calgary (some also hybrid on Zoom). Some work at Moose Mountain required, with some evening work required.

Passion for mountain biking and knowledge of the Moose Mountain Trail System is preferred.

Strong written and verbal communication skills. Comfortable in a member-support role where you are involved in outreach, events and other activities.

Experience using Quickbooks, and understanding of financial statements and accounting practices is an asset.
