Summary

The Calgary Catholic Immigration Society (CCIS) is seeking a qualified individual for the Client Engagement Specialist - Integrated English Language Program position. As a client engagement specialist, you will play a key role in organizing, coordinating, and supporting the delivery of services to IELT clients under the direction of the Evening Resource Coordinator.

Description

Responsibilities:

  1. To manage the established evening Child Care placement program and to liaise with Children's Cross-Cultural Centre (CCCCC) staff to include children of IELT students in the CCIS Day Care.
  • Monitors the Day Care subsidy payment system. Assists parents with the application process for subsidies.
  • Prepares monthly invoices for Day Care expenses.
  • Manages the waiting list for Day Care in consultation with the Resource Coordinator.

       2. Prepare and maintain proper client documentation and reporting, including

  • Pre-registering and registering IELTS students who are currently on the waitlist, photocopying necessary documentation.
  • Will meet with clients to provide information on the IELT program and assist with determining a start point and time.
  • Will create the client file to ensure necessary documentation is included or forthcoming.
  • Determine the need for and eligibility for daycare services and follow the steps in (1).
  • Is in constant communication with the Program Coordinator and the Resource Coordinator on the status of intakes (walk-in or appointment), commencement plans, and daycare requirements.
  • Conducts verification of student documents and ensures documents required for the client file are copied and included.
  • Communicate all intake, commencement, and enrollment information to the respective Resource Coordinator.
  • Provides coaching and intervention options to clients who need support and direction.
  • Provides ICARE backup support when deemed necessary. 

3.  .Assist the Program Coordinator and Resource Coordinator on the following:

  • Assist with the organization and preparation of graduation ceremonies.
  • Participate in the development of marketing materials.
  • Ensure labs are accessible and orderly for use daily.
  • Prepare daily log sheets for instructors to use.
  • Assist with the preparation of rooms for workshop presentations, e.g. arranging chairs/tables, photocopying materials, etc.

4. Will, from time to time, and as part of the team, assume additional responsibilities as determined by the Program Manager.

Qualifications:

  • Diploma and experience in Office Administration.
  • Familiarity with Day Care Subsidy specifications/eligibility and application process.
  • Competency with Microsoft office applications.
  • Training in and experience with a financial database such as payroll, accounts receivable/payable etc. an asset.
  • Demonstrated effective communication, interviewing and documentation skills. 
  • Ability to work effectively in a team environment.
  • Ability to multi-task and to creatively approach challenging situations.
