Events Manager 

Position Summary 

Reporting to the Director of Business Development and Event Operations, the Events Manager is responsible for the smooth and efficient running of the Event Program at The Confluence and will work directly with internal and external event organizers, community partners and vendors to facilitate well-organized and impactful event experiences on site. 

Events at The Confluence are a critical revenue stream and a key connection point to the Calgary community. This role strengthens organizational capacity by stewarding internal and external collaborations, and delivering mission-aligned projects with professionalism, cultural sensitivity, and a guest-forward mindset.  

The role will be required to work evenings, weekends and early mornings as necessary.   

Specific Accountabilities: 

Administration (15%) 

  • Manage overall event profitability by maximizing revenue opportunities.  

  • Manage and optimize use of event management software.  

  • Coordinate vendor and client contracts, insurance, and payments.  

  • Responsible for food and beverage ordering and inventory. 

  • Formalize processes related to events at The Confluence.   

  • Ensure client deadlines are communicated and met. This includes payment schedules and event details.  

Event Planning and Execution (65%) 

  • Provide a personalized, professional, and seamless experience to clients.  

  • Listen to and anticipate client needs to ensure events meet or exceed client established goals and objectives.  

  • Capture intricate event details and requirements in a clear, concise and effective manner.  

  • Provide recommendations to enhance services that align with client goals and objectives.  

  • Responsible for food and beverage ordering, delivery and service as required 

  • Establish site layout and floorplans with clients and ensure proper set up and execution 

  • Liaise with catering and kitchen staff to meet clients' budgets and expectations 

  • Some food purchasing and preparation required. 

  • Balance client needs with achievability of event logistics and venue standards.  

  • Ensure health, safety, insurance and permit regulations and requirements are met in advance of the event.  

 

Leadership (15%) 

  • Provide detailed guidance and leadership to the events team.  

  • Responsible for management of hourly event support staff including hiring and scheduling and supervising  

  • Work with other departments to balance the competing priorities of events, public programs and cultural experience 

  • Problem solve and resolve conflicts effectively.  

  • Lead event organizers through the planning process, anticipating needs and demonstrating exceptional event strategy and project management expertise.  

 

Business Development (5%) 

  • Strategic planning for long term revenue generation 

  • Increasing tourism and travel trade activities onsite 

  • Attending networking events to promote tourism activities, events, and partnerships with The Confluence 

 

Other Duties 

  • Supporting departmental administration, reporting, and planning tasks as required 

  • Participate in staff events, cross-departmental committees, and organization-wide initiatives 

  • Contributing to a safe, inclusive, and welcoming workplace in alignment with The Confluence’s values 

  • Other duties as assigned. 

 

Qualifications 

The ideal candidate is a detailed oriented, customer service professional with extensive event planning experience. Ability to solve problems and meet deadlines in a high-pressure and fast paced environment is key 

  • Minimum 5 – 7 years of experience in Event Management and Sales or a related field 

  • Experience with food and beverage / catering an asset 

  • ProServe Alberta Certificate required 

  • Experience with large scale festivals and events an asset 

  • Knowledge of City of Calgary event permit system, and AGLC and AHS regulations. 

  • Experience creating client contracts, invoices, F&B orders 

  • Exceptional customer service, communication, and organizational skills  

  • Ability to work across multiple teams and sectors 

  • Big picture thinker while also being detailed oriented 

  • Ability to meet deadlines in a fast-paced environment 

  • Ability to manage several projects at the same time and prioritize work accordingly 

  • Demonstrates a friendly, patient, and understanding demeanor with colleagues and clients. 

  • Experience collaborating with Indigenous communities and Indigenous led organizations and other cultural organizations to support culturally specific event activities considered an asset.

Working Conditions 

  • Some evening, early morning and weekend work required during events and peak seasons. 

  • Combination of office, site-based, and outdoor work environments.
