The Facilities Maintenance Coordinator is responsible for overseeing the daily operations and maintenance of FearIsNotLove’s Emergency Shelter property and collaborates closely with property management for the Administration Office building. This role ensures the overall safety, functionality, and compliance of the facilities, including managing preventative maintenance, coordinating repairs, supervising contractors, and responding to after-hours emergencies. The role requires hands-on involvement in troubleshooting issues and a working knowledge of trades such as plumbing, electrical, HVAC, or carpentry.

This is a full-time, non-union position, working 35 hours per week, Tuesday to Saturday (8am to 4pm or 7am to 3pm) with one evening shift of 12pm to 8pm during the week.

WHAT YOU’LL BE DOING

  • Oversee all aspects of facility operations, including preventative maintenance, emergency repairs, and property improvements.
  • Ensure all facility systems and equipment comply with applicable codes, regulations, and municipal bylaws.
  • Supervise contracted services, including maintenance, housekeeping, and shelter security.
  • Conduct regular building inspections and room walkthroughs to ensure safety, cleanliness, and compliance.
  • Respond to facility-related emergencies and provide hands-on troubleshooting as required.
  • Maintain inventories of building supplies (e.g., light bulbs), and manage reordering processes.
  • Work within housekeeping and maintenance budgets in collaboration with Operations Manager.
  • Share oversight of security systems with Operations Manager.
  • Coordinate with office equipment suppliers to ensure timely maintenance and support.
  • Monitor and respond to facility-related email requests from staff; ensure timely resolution and communication.
  • Organize workspace setups for new or relocated staff; update and distribute floor plans as necessary.
  • Ensure meeting and common areas are clean and set up as needed.
  • Provide facility orientation and safety briefings to new staff, including evacuation procedures.
  • Supervise cleaners (contract staff), maintenance volunteers, and general maintenance workers.
  • Partner with the IT Support Lead to manage and resolve IT-related requirements.
  • Ensure compliance with accreditation standards and internal safety protocols.
  • Participate in committees, special projects, and additional duties as assigned.
  • Contribute effectively as an active member of the Health and Safety Committee.

WHAT YOU BRING TO OUR MISSION:

  • Minimum 3–5 years of experience in facilities or building operations, with supervisory experience.
  • Strong understanding of building systems and general trade skills (e.g., plumbing, electrical, HVAC).
  • Proven ability to manage contractors and multiple projects simultaneously.
  • Strong problem-solving and organizational skills.
  • Comfortable working hands-on and responding to emergencies as needed.
  • Knowledge of health and safety regulations, inspections, and licensing processes.
  • Proficiency with email, basic software tools, and ability to manage facilities-related communication.
  • Valid driver’s license and access to reliable transportation preferred.
  • Clear police and IRC checks required.

  • Ongoing training and development is a required condition of this position.
  • A criminal records search and an intervention record check are conditions of employment.
  • If eligible for registration with a professional body, registration must be current.
