CCIS’s Language Instruction for Newcomers to Canada (LINC) program is searching for our next Operations Coordinator and is accepting applications from qualified job seekers!
CCIS’s LINC Program strives to deliver programs that provide highly motivated adults with practical and meaningful English language instruction, designed to help newcomers adapt to life in Canada, reflect on newcomers' interests and needs, and enable newcomers to provide for the protection, health and well-being of their family. Provide supportive skills to help newcomers find meaningful employment and allow them to make a positive contribution to a supportive community.
This full-time position works in partnership with the Program Manager to organize, coordinate and deliver effective Integrated English Language Training (IELT) programs to newcomers as part of their social, cultural, and economic integration into Canada.
Primary Duties and Responsibilities include, but are not limited to:
- Provide informational/marketing presentations regarding the service goals and objectives to target populations such as prospective clients, potential program volunteers, and staff of other divisions.
- Monitor participant status, progress, attendance, academic or personal challenges and ensure individual programs are congruent with action plans.
- Monitor and follow up on clients, including maintaining attendance records, addressing issues such as dissatisfaction with services, absences, and behavior.
- Maintain an inventory of and organize materials and resources, including the scheduling of classrooms and computer labs to ensure optimal utilization of space. Ensure the supportive materials required by teachers are available, accessible and current.
- Arrange for life management professionals, community resources, field trips, internal/external speakers, audio-visual aids and other program supplies and materials as needed to achieve the goals for each level of language learning.
- Will be a substitute teacher in the event an instructor is unable to attend and/or there is no other instructor available to teach a scheduled class.
Prepare and maintain client documentation and reporting in accordance with established program practices, which include but are not limited to the following:
- Pre-registering and registering LINC students and creating files with the standard content, as well as updating the file information when necessary.
- Establishing, managing and/or supervising administration staff regarding the wait list for LINC programs.
- Liaising with community partners and organizations to arrange for presentations, speakers and class visits.
- Liaise with representatives of other divisions of CCIS regarding services and issues of common clients.
- Completing LINC training histories, days, and ensuring that their ICARE information is current.
- Recruit, screen, coordinate and monitor volunteers of the LINC program. Work in conjunction with the Volunteer Coordinator to recruit volunteers, to advertise for volunteers via internal and external resources and to represent the volunteer opportunities via community membership.
Provide supervision and direction for the general administration and operations of the LINC program in conjunction with the Resource Assistant position, through:
- Facilitating open communication/collaboration and cooperation between staff/Instructors, students, volunteers, and external contacts.
- Maintaining order, usage and accessibility of classrooms and computer labs.
- Aid in accessing, organizing and distributing resources required for classrooms and labs.
- Updating LINC brochures, pamphlets, newsletters, etc., in collaboration with the Communications staff.
- Assisting with benchmark testing or evaluations when necessary.
- Act as a resource to instructors regarding student placements, resources, etc.
- Coordinating with Instructors and preparing activities/programs at the end of each semester.
- Assist the Project Manager in the scheduling of semesters and completing Instructor assignments (Day-time Coordinator)
- Responsible for maintaining/updating student information in the CCIS/LINC database and for the preparation of the monthly ICARE report.
- Provide statistical and related information for CIC reports to the Project Manager.
- Provide the necessary leadership in the determination of the need for and ordering of AV equipment for the program (Day-time Coordinator).
Qualifications:
- Undergraduate or graduate degree in education/humanities or other related discipline.
- Current ATESL certification.
- Demonstrated competency and proficiency with Microsoft Office applications.
- Experience in teaching or working with New Canadians in an adult ESL-related program or service.
- Excellent written and interpersonal communication skills
- Ability to relate and communicate effectively within a multicultural and multidisciplinary setting.
- Ability to work collaboratively with other departments/agencies and to creatively utilize resources.
- A current Police Information Check is required.
