Women In Need Society (WINS) is looking for a Temporary People & Culture Coordinator to join our People & Culture team. The People & Culture Coordinator provides administrative and operational support to the P&C team and broader organization, helping ensure employee information, documentation, systems, and day-to-day P&C processes are accurate, organized, and completed on time.

Description

Supporting employees throughout the employee lifecycle, the Coordinator will have a particular focus on onboarding and offboarding, employment changes, HRIS administration, employee records and reporting, payroll-related administration, and general P&C support. As a key point of contact for employees and managers, the Coordinator will respond to routine P&C inquiries and connect with the appropriate P&C team member when additional support or guidance is required.

This position offers the opportunity to gain hands-on experience across a broad range of People & Culture functions, including recruitment, learning and development, employee engagement, HR systems and general P&C administration. Working closely with the People & Culture and Payroll teams, the successful candidate will build practical HR experience while contributing to processes and initiatives that directly support WINS employees and leaders.

Duties and Responsibilities

Employee Lifecycle & P&C Administration

  • Coordinate employee onboarding and offboarding processes, including new-hire setup, terminations, and required documentation.
  • Process employee changes in ADP, including transfers, promotions, position and compensation changes, leaves, and other employment updates.
  • Prepare employment documentation, including offer letters, employment change letters, leave documentation, and other employee correspondence.
  • Prepare and submit Records of Employment (ROEs).
  • Maintain accurate and complete employee records and P&C documentation.
  • Respond to routine employee and manager inquiries and provide day-to-day administrative support to the P&C team.

HRIS, Payroll & Reporting

  • Maintain accurate employee information in ADP Workforce Now throughout the employee lifecycle.
  • Support ADP administration, employee access, system updates, reporting, and routine troubleshooting.
  • Work closely with P&C and Payroll to support the accuracy and timely processing of employee and pay-related information.
  • Provide payroll-related administrative support and follow up on employee information or changes as required.
  • Prepare and maintain regular P&C reports, trackers, metrics, and audits.
  • Support the development and maintenance of SOPs, templates, training guides, and process documentation.
  • Assist with internal P&C communications and employee updates.

Additional P&C Support

As part of the broader P&C team, the Coordinator may also provide administrative and coordination support in areas such as:

Recruitment

  • Support recruitment activities, including posting positions, reviewing applications, coordinating and scheduling interviews, and communicating with candidates.
  • Participate in interviews and candidate pre-screens as required.
  • Conduct reference checks and support other pre-employment requirements.
  • Prepare offer documentation and support the transition from recruitment into onboarding.
  • Maintain recruitment trackers and help ensure recruitment activities and documentation are completed in a timely manner.

Learning & Development

  • Coordinate employee training and learning initiatives, including scheduling sessions, registrations, communications, materials, and other training logistics.
  • Maintain training records in ADP and other internal systems and track employee participation and completion.
  • Follow up with employees and managers regarding outstanding training requirements.
  • Support updates to training materials, guides, internal resources, and GROW content.
  • Assist with gathering training needs and feedback and provide administrative support for broader learning and development initiatives.

Other P&C Support

  • .Support employee engagement initiatives, appreciation activities, and organization-wide events.
  • Assist with P&C projects and other departmental initiatives as required.

Education & Experience

  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • 1–2 years of Human Resources or People & Culture administrative experience preferred; a combination of relevant education and experience will be considered.
  • Experience with ADP Workforce Now or another HRIS/payroll system is an asset.
  • Experience in a nonprofit or retail environment is an asset.
  • Experience supporting employee administration, recruitment, payroll, or benefits is an asset.
