OPERATIONS AND FINANCE COORDINATOR
The Elder Statesmen Group is a non-profit organization founded in 1972 with the express purpose of building and managing low-cost housing for seniors. We own and operate 2 apartment style, independent living, seniors’ residences in Calgary, Alberta.

We are seeking an Operations and Finance Coordinator who will add value to our organization by providing support for the daily operations of our buildings as well as coordinating the responsibilities within the finance department. They will ensure efficient and effective administration of all accounts receivables and payables, financial reports, audit preparation, internal controls integrity and compliance reporting relating to funding and other programs

Key Responsibilities
Accounts Payables and Receivables Coordination

  • Receive account payables and ensure timely processing and payment.
  • Ensure account receivables remain current.
  • Keep accurate and up to date tenant and vendor financial records.
  • Ensure compliance with financial procedures and policies.
  • Compiling and executing employee expenses and mileage claims.
  • Prepare bank deposits.
  • Reconcile bank accounts monthly.

Operations and Administration Support

  • Support administration in scheduling and coordinating various meetings.
  • Schedule contractors, to ensure compliance with various regulatory commitments and for maintenance and repair requirements.
  • Prepare tenant notices, for suite entries and other important occurrences.
  • Compile information and produce tenant newsletters.

Reporting and Internal Controls Administration

  • Prepare monthly and quarterly financial reports for management review.
  • Assemble documents required for the annual external audit process.
  • Ensure timely and accurate reporting on all government grants.
  • Ensure timely reporting on the Rent Assistance Benefit Program.

Core Competencies

  • Post secondary education in administration, accounting or a finance related field.
  • Minimum of 5 years’ experience in similar operations/finance role.
  • Proficiency working in Yardi Breeze Premier, QBO and MS Office.
  • A drive for excellence and demonstrates a commitment to accuracy and attention to detail.
  • Excellent organizational skills and the ability to balance a variety of demands and deadlines effectively.
  • A belief in our vision, mission and values with the ability to apply our organizational values to daily tasks and interactions.
  • Ability to work independently while adding value as a team member.
  • Exceptional oral and written communication skills.

Requirements

  • City of Calgary Police records check with vulnerable sector, dated within 6 months of date of hire. Paid for by the employee
  • RTA course – At earliest date available. Paid for by the company.
