The Opportunity

We are looking for an exceptional Data Coordinator to join our Digital Transformation & Information Technology (IT) team. This hands-on role, focused on data stewardship, will ensure the integrity and completeness of donor and supporter data.

In this role, you will regularly audit information, identifying issues, and taking corrective action to ensure our CRM reflects an accurate and holistic view of constituents. You will manage batch imports, integrate non-revenue data, and use CRM tools to clean and standardize records, strengthening the Foundation’s ability to build meaningful donor relationships and deliver on our mission. In addition, you will contribute to projects within the Digital Transformation & IT team, taking on defined project tasks related to data and supporting testing activities to ensure quality outcomes.

Our office is located onsite at the Alberta Children’s Hospital. Combining the flexibility of working from home with the benefits of gathering in person, both in office and remote work is required for this role.

Key Responsibilities:

Data Quality & Stewardship

  • Conduct regular reviews of CRM records to identify missing, incomplete, duplicate, or inconsistent data.
  • Use queries, reports, and audits to monitor overall data health and highlight recurring issues.
  • Take direct action to resolve identified issues, including cleanup, deduplication, and enrichment.
  • Apply CRM tools and processes to standardize data (e.g., addresses, contact info, formatting).
  • Track and report progress on data quality improvements.

Non-Revenue Data Integration

  • Manage batch imports of data into CRM, ensuring accuracy, completeness, and proper formatting.
  • Validate and maintain non-revenue data such as event attendance, volunteer participation, and stewardship activity.
  • Review and prepare external data sets for import, checking for quality and consistency.
  • Recommend and implement improvements to processes for capturing and storing engagement data.

Process Improvement & Feedback

  • Develop practical workflows or quick solutions to reduce recurring data issues.
  • Provide feedback to the broader Digital Transformation & IT team on trends and opportunities for stronger data practices.
  • Support the documentation of repeatable data-entry, import, and cleanup procedures.

Education & Support

  • Assist staff with questions on data entry rules and provide guidance on best practices.
  • Help prepare short reference materials, checklists, or demonstrations to encourage consistent data handling.
  • Promote awareness of the importance of accurate data across the Foundation.

Project Support & Testing

  • Participate in Digital Transformation & IT projects, completing assigned data-related tasks (e.g., data preparation, validation, or migration activities).
  • Assist in testing cycles by preparing test data, executing test cases, validating outcomes, and logging issues for resolution.
  • Provide feedback on data quality, process impacts, and usability during project implementations.
  • Collaborate with project leads, analysts, and IT colleagues to ensure accurate and reliable data throughout project delivery.

As our Ideal candidate, you have:

  • A post-secondary education or equivalent experience in data management, administration, or a related field.
  • Previous experience with CRMs is required; experience working in a nonprofit or fundraising environment with exposure to nonprofit fundraising systems is preferred (e.g., Raiser’s Edge/RENxt, SmartSimple, Classy, Luminate, Salesforce or equivalent). Your experience includes batch imports and data cleanup within CRM tools.
  • Proficiency with queries, reports, and Excel for monitoring and reviewing data health. You have exposure to basic data auditing and/or data governance practices.
  • Strong attention to detail with the ability to spot errors and implement fixes. You have an analytical and solution-oriented mindset with a willingness to take initiative.
  • Comfort working as a part of structured projects, with exposure to testing practices (e.g. creating or executing test cases, validating results, tracking issues).
  • The demonstrated ability to communicate clearly and are able to explain data rules to non-technical colleagues. You are a highly organized and proactive learner.
  • Familiarity with marketing and/or event platforms (e.g. Classy, Mailchimp).
  • The ability to work both in office and remotely in accordance with our hybrid work arrangement.
