THE ROLE
The Legal Assistant serves as the first point of contact for clients and supports the Elder Law team in delivering program services. Reporting to the Managing Counsel and working under the direction of CLG program lawyers, this role is responsible for client communication, appointment coordination, referrals, and administrative support.

Key Responsibilities

  • Respond to client inquiries and provide updates on services and next steps.
  • Schedule appointments and coordinate referrals as needed.
  • Prepare and maintain client, administrative, and program records and systems.

This is a regular full-time position working 35 hours per week. As part of an integrated legal program team, the role requires empathy, efficiency, and excellent client service in a fast-paced, high-volume environment. The successful candidate will bring strong administrative, organizational, and drafting skills.

PRIMARY FUNCTIONS AND ACCOUNTABILITIES 
Responsibilities include but are not limited to:
Client and File Administration

  • Perform a variety of legal and administrative duties, including verifying and recording client data electronically in Practice Panther, the client record management system.
  • Maintain organized electronic and paper filing systems.
  • Open, close, and archive electronic and physical client files.

Client Service and Scheduling

  • Meet with and triage clients both remotely and in person.
  • Schedule appointments for the Elder Law lawyer.
  • Arrange interpreters for client meetings and coordinate document translation.
  • Commission affidavits.

Reporting, Intake, and Program Support

  • Assist with extracting data from Practice Panther for reports and funding applications.
  • Assess intake eligibility under CLG income and asset guidelines and Elder Law Program service parameters.
  • Provide general estate law information and referrals for related services.
  • Respond to general inquiries received through the Elder Law Program intake telephone line.
  • Provide administrative and triage support during and after legal clinics or webinars.
  • Determine client needs and legal issues in advance of initial interviews with an advocate or lawyer.
  • Attend Canada Post and the Federal Court Registry, or courier documents, as requested.

THE CANDIDATE
The preferred candidate possesses the following skills, experience and qualifications:
Education and Experience

  • Completion of a Legal Assistant certificate or diploma from a recognized post-secondary institution.
  • At least three years of related experience in a law office or other legal setting.
  • Knowledge of estate law terminology is an asset.
  • Appointment as a Commissioner for Oaths in and for the Province of Alberta is considered an asset.

Skills and Attributes

  • Strong verbal and written communication skills in English; multilingual or cross-cultural communication skills are a strong asset.
  • Exceptional attention to detail and accuracy.
  • Strong interpersonal skills, with the ability to build and maintain effective relationships internally and externally.
  • Excellent client service skills, including the ability to work with clients who have complex needs and may be in crisis.
  • A demonstrated commitment to confidentiality, access to justice, and high-quality service.
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines effectively.
  • The ability to work independently and collaboratively as part of a team.
  • The ability to work with older adults who may be experiencing age-related illnesses or disabilities.

Technical Knowledge

  • Familiarity with estate documents, including wills, enduring powers of attorney, and personal directives.
  • Proficiency with legal software, the Microsoft Office Suite (Word, Excel, and PowerPoint), and document management systems.

 
WHAT WE OFFER
Salary range is $50,000 – $62,000 per annum and will be commensurate with experience. A comprehensive benefits package is also provided.
