Executive Assistant to Senior Advisor / Receptionist / Clinical Secretary

Schedule: Monday to Friday, 8:00 a.m. to 5:00 p.m.
Reports to: Director of Operations and Senior Advisor

About the Opportunity

AARC is looking for an organized, and dependable person to be the first point of contact at our front office while also providing administrative support to the Senior Advisor and clinical team.

This is a busy, people-focused role for someone who is professional, calm under pressure, detail-oriented, and comfortable handling confidential information.

Key Responsibilities

In this role, you will welcome visitors, answer and direct calls, manage reception, support the Senior Advisor with all priorities and their schedule, prepare and maintain clinical paperwork and client files, assist with database entry, coordinate office supplies, mail, boardroom bookings, and meeting materials, and help keep the front office organized and running smoothly.

What We’re Looking For

  • Three years of experience in an administrative role in reception, executive support, clinical secretary, or office coordination role.
  • Strong communication, organization, and attention to detail.
  • Professional judgment, discretion, and the ability to maintain confidentiality.
  • A positive, service-oriented approach with families, visitors, staff, and community contacts.
  • Comfort working in a busy on-site environment and supporting occasional evening or weekend special events.
  • Not-for-profit experience is an asset.

Requirements

The successful candidate must complete a Vulnerable Sector Check and Youth Intervention Check. This position is fully on-site and does not include work-from-home flexibility.
