Description
The Calgary Youth Justice Society (CYJS) has recently developed and embarked on implementing a new dynamic 5-year strategic plan to support our continued growing reach and impact on the lives of young people and communities in Calgary and across Alberta.
We are seeking an experienced organizational development consultant or group to lead our organization in identifying and building management systems and practices that support leadership capacity to achieve strategic plan goals and evolve our organizational culture to enhance connection, communication and accountability.
The successful candidate must have proven experience working with not-for-profit organizations and demonstrated results in developing individualized organizational structures, processes and interventions that have led to improvements in organizational effectiveness, efficiency and culture.
The current CYJS team consists of 18 employees with an anticipated increase to 24 by the end of the year.
Project Scope of Work
We envision the project in 3 phases with clear objectives, activities, and deliverables within each phase.
Phase 1: Discovery
Objective:
Identification of specific needs, challenges, and opportunities for fostering a culture of connection, communication, accountability, and leadership excellence.
Activities:
- Conduct engagement sessions with organization leadership team members and staff members to gather feedback and insight on current perceptions of organizational effectiveness, workplace culture and leadership capabilities.
- Conduct an organizational audit to identify gaps in organizational processes and practices, communication patterns and efficiencies, leadership approaches, and culture that impact organizational effectivenes
Deliverables:
Discovery report detailing feedback from engagement sessions, results from the organizational audit and recommendations based on findings.
Phase 2: Development
Objective:
Design of processes, practices, tools and best practices standards based on the gaps, opportunities and recommendations identified in Phase 1.
Activities:
- Review discovery report findings with leadership to determine priority development activities.
- Develop practical processes, resources, and tools to support efficient leadership capabilities related to decision making and communication and fostering an organization wide culture of collaboration, accountability and resilience.
Deliverables:
Comprehensive toolkit of developed resources and tools aligned with organizational values and that support sustainable process and practices for organizational effectiveness and achievement of strategic priorities
Phase 3: Implementation
Objective:
To implement the tools, processes, and best practices developed in Phase 2 through targeted training and workshops, ensuring alignment and adoption across the agency.
Activities:
- Facilitate staff workshops to build shared understanding of new processes and tools and cultural expectations and strengthen skills in collaboration and personal accountability.
- Deliver leadership training and post training support and coaching on effective implementation of new processes and tools and sustaining a culture of connection, communication and accountability.
- Establish mechanisms for continuous feedback and evaluation of ongoing organizational effectiveness and culture.
Deliverables:
Final project report outlining recommendations for ongoing implementation and evaluation of developed practices and processes and overall culture expectations.
Project Process
The project will require a high degree of understanding of CYJS including our core values as they relate to our culture and our ways of working with our clients, volunteers, stakeholders, and employees. As such we require a highly collaborative working relationship with a consultant who will develop and deliver resources and tools that are specific to our unique needs.
The CYJS Strategy, Evaluation and Impact Specialist and In the Lead Program Director will be the leads in the project. However, the inclusion of all leadership members in development and decision making is essential, as is engagement with and input from front line staff throughout the project.
Project Timeline
The selected candidate must anticipate an 8-month timeframe for the scope of the work. The term of the engagement with the major milestones is outlined below. If a different time period is being proposed, please indicate why more or less time is needed.

Phase 1 Discovery: May-June 2025
Phase 2 Development: July-September 2025
Phase 3 Implementation: October-November 2025
Project wrap up and final report delivery: December 2025

- About your firm
- Bios of the team that will work on the project including professional designations and/or certifications
- Overview of approach to achieve project outcomes and alternate schedule if requesting
- Estimation of fees for each phase and payment timeline
- 3 References including a summary of the related scope of work performed
