Senior Access Coordinator – CCS Child & Family Centre

The Senior Access Coordinator is responsible for coordinating guest management support of the CCS Child and Family Centre.  Acting as a senior position for both Reception and Link Line.  Ensuring the front of house team is responsible to facilitate connections for families seeking services and support of our agency, as well welcoming visitors and vendors to the building.  The Senior Access Coordinator will be the primary point of contact for families and caregivers accessing the Little Blossoms program.  They will lead the Link Line team and act as back up support for the other Access Coordinators, for example covering for their scheduled breaks. They will support the Reception Coordinator with supervision, scheduling relief staff and volunteer support, and covering scheduled breaks. 

Hours/Salary: This position is Full Time (36 hours per week). Hours are daytime, Monday to Friday, and modified work week options are available; however, the availability to work flexible hours outside of usual work schedule on occasion to support staff is required. The wage for this role is $58,000 per year

Responsibilities:
Link Line Support

      • Monitor phone lines and emails in order to provide accurate and timely information to community members seeking services.
      • Use a trauma informed approach with intake, utilizing referral tools and observation alongside coaching and reflection to identify parents’ strengths and challenges and refer to resources and supports.
      • Assess the needs of families in order to connect to the appropriate supports.
      • Navigate systems, provide advocacy and referrals to partner agencies, internal programs, and other community partners and resources.
      • Support families through crises and develop safety plans with families and Children’s Services as required
      • Provide a regular presence at the Home Road location
      • Maintain strong knowledge and understanding of community resources and use these appropriately to connect a family to ongoing supports that can build self-advocacy and resiliency.
      • Complete screenings and eligibility for programs
      • Coordinate appointment and resource pickups with clients
      • Provide supervision and support to the access coordinators
      • This includes covering for the role for absences, which may include changing typical working days to evenings or weekends with advance notice. 

Little Blossom Support

  • Complete referrals, screening, assessments, of all families in Little Blossoms Program.
  • Liaise with partner agency for intakes, admissions, and fiscal matters
  • Assist families with program service planning and coordinate discharge plans with other agency partners as needed. 
  • Complete reporting and data analysis for all reporting requirements

Reception Support

  • Provide supervision and support to the reception coordinator
  • Covering for reception coordinator breaks or for absences
  • Ensure reception volunteer requests meet the needs of the building
  • Liase and report the Volunteer Manager for volunteer requests and tracking of volunteer hours.
  • Maintain communication and relationship with volunteers and coordinate volunteer requests, and reporting to CCS Volunteer Manager. 

Documentation

  • Complete all intake and referral paperwork with accuracy and in coordination with partners.
  • Maintain accurate electronic client records
  • Document all client calls and follow-up contacts.
  • Assist with collection of outcomes data
  • Asist with the collection of data from Agency Partners.
  • Assist with completion of a nominal role and other month end documentation at the end of each month.
  • Adhere to program accreditation and provincial guidelines
  • Other duties as required by the Program Supervisor, Director of Community Programs, or CEO
  • Other Duties as Required
    • Attend program leaders’ meetings and participate in leadership activities as required. 
    • Participate in other duties relevant to this position when Manager is away.
    • Speak publicly and participate in fund development events and activities to represent the agency and your program area when called upon.

Qualifications:

  • Minimum Diploma in Human Services Field.
  • Minimum 3 years of coordinator or supervisory experience.
  • Minimum of 3 years of assessment, intake and referral experience
  • Minimum of 3 years of direct service for families with children 0-18.
  • Experience helping families navigate stressful situations
  • Knowledgeable in healthy child development.
  • Knowledgeable about community resources.
  • Experience helping families experiencing stressful situations.
  • Valid driver’s license and use of personal vehicle
  • Standard First Aid Certificate with CPR level C
  • Current Police Security and Child Intervention Record checks with satisfactory results
  • Brain Story Certification Course (online training)
  • Applied Suicide Intervention Skills Training (ASIST)
  • Experience using NewOrg or similar client databases.
  • Proficient computer skills required.
  • Excellent written and oral communication skills required.
  • Ability to work a non-standard work week.
