About In the Lead
In the Lead is an innovative leadership and character-building program for overlooked Young Leaders. In the Lead reaches young people in our city who are struggling to see and use their natural leadership ability in beneficial ways. Where others may see deficits and risk, we see strengths and potential. With added encouragement from adult volunteers who provide 1:1 mentorship and opportunities to be leaders and give back, youth transform their views of themselves, their communities and their futures.
Position Overview
The Program Coordinator is responsible for the day-to-day coordination, facilitation, and delivery of In the Lead (ITL) and In the Lead 180 (ITL 180) programs. This role ensures programming runs smoothly, on schedule, and in alignment with curriculum and learning outcomes.
Working closely with Program Coordinators II and reporting to the Program Manager, the Program Coordinator supports youth participants (Young Leaders), volunteer Coaches, and school and community partners. The role is highly collaborative and may include supporting related program or agency initiatives while maintaining core ITL and ITL 180 programming.
Key Responsibilities
The Program Coordinator supports all operational and relationship-based aspects of ITL and ITL 180, including:

Coordinating and facilitating weekly ITL and ITL 180 programming

Supporting youth engagement, volunteer involvement, and partner relationships

Managing program logistics, data, and required documentation

Assisting with program events and continuous program improvement
Core Duties
Program Coordination & Facilitation

Coordinate ITL and ITL 180 programming with assigned schools and community partners

Facilitate weekly curriculum sessions aligned with program outcomes
-
Plan and support program-related events involving youth and volunteer Coaches
-
Work with Program Leads to address scheduling changes or delivery challenges
Young Leader (YL) Recruitment & Program Support
-
Coordinate Young Leader nomination and intake processes
-
Support recruitment efforts through school engagement, info sessions, and on-site presence
-
Prepare program materials and resources for each semester
-
Deliver and collect Young Leader documentation, ensuring accuracy and completion
-
Support Young Leaders throughout the program, including responding to concerns and critical incidents according to policy
Relationship Building & Collaboration

Build and maintain positive, collaborative relationships with:

School and community liaisons

Young Leaders
-
Volunteer Coaches
-

Support healthy Coach–Young Leader connections and communication
-
Escalate concerns or challenges to Program Leads as needed
Coach Support & Matching

Support Coach recruitment, training, and orientation activities

Participate in Coach–Young Leader matching
-
Communicate expectations, events, and required activities to Coaches
-
Support communication with corporate partners as directed
Data, Documentation & Evaluation

Maintain accurate program records and semester files
-
Track attendance, paperwork, and participation for Young Leaders and Coaches
-
Manage data entry in Better Impact and internal tracking tools
-
Coordinate pre- and post-program surveys and reports
-
Upload and organize all program documents using established naming conventions
Event Coordination (Meet Up, Volunteer Events, Wrap Up)

Support planning and delivery of ITL events, including:

Meet Up events
-
Volunteer activities
-
Wrap Up celebrations
-

Prepare event materials, attendance lists, and emergency contact information

Communicate event details to Young Leaders and Coaches
-
Coordinate transportation needs for youth as required
Qualifications:
-
Group facilitation expereince using a pre-determined curriculum*****
Education in Social Sciences or Human Services and/or experience working with and engaging youth in education/programming -
Clear Police Check including Vulnerable Sector Check, Child Intervention Record Check
-
Strong understanding of positive youth development
-
Demonstrated ability to build positive and professional relationships with volunteers, school staff, youth and other stakeholders
-
Strong verbal and written communication skills
-
Experience in community development work an asset
-
Proven experience as program coordinator or relevant position

Knowledge of program management and development procedures
-
Tech savvy, proficient in MS Office
-
Ability to work with diversity and multi-disciplinary teams

Working Conditions
Workdays are typically 5 days a week, 7 hours per day, at 35 hours per week. The incumbent will be required to work evenings and/or weekends and organization events as scheduled, including outdoor locations. Some overnight travel may be required. The Program Coordinator consistently works collaboratively with staff; is exposed to noise and regular flow of people from the office and members of the public; and is assigned tasks and deliverables, as determined by changing priorities.
