As Calgary's granting council for the Community Adult Learning Program (CALP), Calgary Learns supports the foundational learning needs of adults through program grants, professional development, and local advocacy.
We are looking for a highly organized, technically proficient Administrative Assistant to join our small, collaborative team. This role is ideal for someone who enjoys balancing administrative responsibilities with communications, event coordination, and providing technology support. The successful candidate will be a strong problem solver who is comfortable balancing tasks, troubleshooting basic technical issues, and helping improve organizational processes.

Key Responsibilities

The Administrative Assistant supports the efficient day-to-day operations of Calgary Learns by:

  • Providing general office administration
  • Providing administrative support to the offsite accountant
  • Managing and maintaining the organization's website and databases, ensuring information is accurate, current, and well-organized.
  • Providing administrative support to professional development activities, including marketing, registration, participant communications, and evaluations.
  • Coordinating logistics for Board meetings, the Annual General Meeting, community consultations, and casino volunteer recruitment and scheduling.
  • Providing front-line technology support, troubleshooting hardware and software issues, and serving as the primary contact for routine technical needs.
  • Coordinating and producing the quarterly newsletter and supporting organizational communications.
  • Performing other duties as assigned by the Executive Director.

Qualifications

The successful candidate will demonstrate:

  • Excellent written and verbal communication skills.
  • High degree of attention to detail and the ability to manage multiple priorities.
  • Strong proficiency with Google Workspace and Microsoft Office, particularly Word and Excel.
  • Good technical aptitude, with the ability to confidently learn, manage, and troubleshoot a variety of software platforms.
  • Experience working with website content management systems (such as WordPress), email newsletter platforms (such as Mailchimp), design tools (such as Adobe), databases (such as Access), and other cloud-based applications.
  • Confidence in independently resolving routine technical issues.
  • The ability to work independently while contributing effectively as part of a small team.
  • A curious mindset and a commitment to continuous learning.
  • Post-secondary education and/or equivalent relevant experience.

This is a part-time position (28 hours per week) based in our scent-free office. The salary range is $39,300-$40,600 per annum. A comprehensive benefits package is also provided.
