POSITION OVERVIEW
The Communications & Engagement Coordinator drives digital community building, email marketing, and responsive front-line support across two vital organizational pillars.
This role balances hands-on program communications, email campaign execution, and digital community management for Sector Development and Engagement (50%), alongside formatting, communications logistics, and research coordination for Policy (50%). The ideal candidate brings strong copywriting skills, digital platform expertise, and the ability to adapt voice and manage competing priorities across two leadership workflows.
This role is currently funded for a one-year term. As we continue to build out this portfolio, our goal is to secure ongoing funding to extend the position.
CORE RESPONSIBILITIES BY PORTFOLIO
1. Sector Development & Engagement (50%)
Digital Communications & Email Marketing
- Manage Campaign Monitor to build, test, and distribute mass email communications across two distinct brands: the Nonprofit Chamber and Nonprofits Vote.
- Manage the production calendar, content curation, and submission tracking for the sector newsletter.
- Gather, copy-edit, and format newsletter drafts, ensuring brand voice consistency, formatting standards, and layout accuracy prior to distribution.
Social Media & Community Management
- Serve as the day-to-day liaison with the external communications consultant to execute the social media content calendar.
- Monitor all active social media platforms, acting as the voice of the organization by proactively responding to comments, direct messages, and community mentions.
- Foster a highly engaged digital community by identifying opportunities to amplify member organizations and interact with relevant sector content.
Program Communications (Nonprofit Now+)
- Serve as the primary, welcoming point of contact for Nonprofit Now+ participants, managing the flow of onboarding materials, schedule reminders, and cohort updates.
- Coordinate the daily communications workflow from start to finish, tracking incoming applications, intake forms, and participant feedback.
Shared Inboxes & Front-Line Support
- Monitor and triage shared team inboxes to ensure timely, helpful, and dependable customer service for member organizations.
- Provide front-line service and troubleshooting for users navigating Reach Hire, guiding them through account access, posting procedures, and common inquiries.
- Escalate specialized inquiries to the appropriate team members while maintaining ownership of open communication loops.
2. Policy & Insights Portfolio (50%)
Policy Communications & Documentation Support
- Assist the Director of Policy by translating public records and consultation briefs into accessible internal summaries.
- Proofread, format, and layout policy briefs, official letters, reports, and presentation slide decks to ensure clean, consistent, and highly professional outward-facing presentation.
- Organize and maintain internal reference materials, policy documentation archives, and briefing repositories.
Policy Project Management & Tracking
- Maintain project tracking dashboards, communications schedules, and milestones for active policy files and initiatives.
- Monitor timelines for consultations, public commentary periods, and policy submissions to ensure all communication deadlines are met.
Working Groups & Meeting Logistics
- Coordinate scheduling, calendar invitations, and digital meeting materials for policy committees, roundtables, and working groups.
- Prepare meeting agendas, capture clear action-oriented notes, and drive follow-up communications through to completion.
Shared Operational & Service Expectations
- Events: Support front-of-house logistics and attendee communications for virtual and in-person policy sessions, briefing meetings, and community presentations.
- Workload Prioritization: Work collaboratively with both Directors to align weekly priorities, flag scheduling conflicts early, and manage deadlines effectively.
- CRM & Data Hygiene: Keep Salesforce contact records, organizational engagement touchpoints, and Campaign Monitor subscriber lists accurate and organized.
- Service Standards: Uphold a welcoming, solutions-oriented brand voice when interacting with nonprofit leaders, partner organizations, and community members across all channels.
QUALIFICATIONS AND EXPERIENCE
Education & Experience
- Post-secondary education in Communications, Marketing, Public Relations, Non-Profit Management, or equivalent practical experience.
- 2 to 4 years of experience in digital communications, email marketing, community management, or member relations.
- Direct experience handling organizational social media feeds, managing shared team inboxes, or providing digital customer support in a deadline-driven environment.
- Previous experience within the nonprofit or community services sector is an asset.
Key Skills & Competencies
- Digital Platforms: Strong proficiency with email marketing platforms (specifically Campaign Monitor), social media management, Microsoft Office 365, and CRM systems like Salesforce.
- Copywriting & Brand Voice: Exceptional written communication and editing skills, with the agility to shift writing styles between different brands (Nonprofit Chamber and Nonprofits Vote).
- Project Organization: Proven ability to manage multi-step processes (such as newsletter production schedules and cohort application cycles) with strong attention to detail.
- Time Management: Demonstrated comfort working within a dual-reporting environment, including proactive communication about bandwidth and priorities.
