Donor Prospect Officer

Job Summary:
Big Brothers Big Sisters of Calgary and Area (BBBS) a brand-new role at BBBS Calgary. We are looking for a "builder", someone who is excited to start from the ground up. You will be the engine behind our team, making sure we have a steady stream of new donors to talk to and that our donor data is clean and useful. Since this is a new position, you aren’t just following a manual you’re writing it. You will have the freedom to set up the systems, mapping, and research habits that will help us grow our impact for years to come.
Responsibilities:
In this role, you will lead our prospecting pipeline, annual giving, handle the technical side of our database, and provide writing support when needed for our grants.
Build the Pipeline
- Research: Find and get to know at least 20 new potential donors (people, companies, or foundations) every month.
- Deep Dives: Use research tools to figure out who has the heart and the means to support our work, then create profiles for our fundraisers so they are prepared for every meeting.
- Strategy: Work closely with the rest of the team to figure out the best way to approach new prospects and move them from "potential supporter" to "active donor."
Manage the Pipeline
- Team Reviews: Lead regular check-ins with every member of the development team to review their progress and keep the "pipeline" moving.
- The Donor Journey: Map out exactly what a donor experiences from their first gift to their tenth, using smart "segmentation" (grouping donors by interest) to make sure they get the right messages at the right time.
Annual Giving & Writing
- Campaigns: Help run our big yearly fundraisers and appeals.
- Monthly Giving: Grow our monthly donor club by finding new members and making sure they feel appreciated so they stay with us long-term.
- Grant Writing: Provide support writing for grant applications, foundation proposals, and letters to our supporters.
Database & Systems
- Donor Perfect Expert: Take the lead as the main administrator for our database. You’ll make sure everything is entered correctly and that we are using the system to its full potential.

Competencies:
- 3 to 5 years of directly related experience in building a pipeline of donors and fundraising, with a track record of prospecting high-net-worth individuals, foundations, and corporations.
- Strategic Research & Wealth Intelligence: Demonstrated expertise in utilizing advanced screening tools to identify high-net-worth individuals and institutional funders. This involves synthesizing complex financial data and philanthropic histories into actionable briefing profiles that guide the cultivation strategy for frontline fundraisers.
- Pipeline Development & Portfolio Optimization: Proven ability to manage the movement of prospects through the development cycle by identifying new lead sources and analyzing donor data for untapped potential. You will work closely with development team to prioritize outreach efforts, ensuring that portfolios remain balanced and focused on the highest-impact opportunities.
- Exceptional interpersonal and communication skills, with the ability to build trusted relationships internally and externally.
- Ability to work collaboratively across multiple departments and with senior-level stakeholders.
- High level of professionalism, maturity, and discretion when handling confidential information.
- Ability to work independently, prioritize tasks effectively, and manage multiple deadlines in a fast-paced environment.
- Exceptional attention to detail and accuracy in all aspects of work.
- Experience with grant writing considered an asset.
- Proficiency within Donor Perfect or a related CRM donor databases and wealth management tools (e.g., I Wave) and Microsoft Office applications (PowerPoint, Excel, Word).
Qualifications:
- Post-secondary degree or diploma in a related field, or an equivalent combination of education and experience.
- Minimum three years of experience in donor prospecting, donor pipeline development, annual giving, fundraising, or related business development.
- Ethics & Discretion: Demonstrated commitment to data privacy and the ethical handling of sensitive donor information.
- Certified Fund Raising Executive (CFRE) is considered an asset.
Pre-Employment Screening Requirements:
Successful completion of Police Check, Vulnerable Sector Check, and Child Intervention Record Check.
