Job description
The Registrar is part of the Workshops Team and reports to the Workshops Lead. This position works closely with the Workshops Coordinator and the Client Relations Team to support delivery of CMHA AB + CSP workshops and office support. The Registrar is often a first point of contact for the public to support their access to our education offerings.
Responsibilities, including but not limited to:
- Develop collaborative relationships with team members and the public for delivery of organizational workshops and office support.
- Support delivery of organization workshops and education by:
- Coordinate participant registrations for workshops including communication, payment and documentation.
- Facilitate communication and registration for grant funded workshops delivery (i.e. grant funded workshops).
- Manage workshop waitlists, reminders, cancellations, rescheduling and participant qualifications as required.
- Complete all documentation for workshops, including attendance, within the organization’s data system.
- Distribute workshop evaluations and certifications, as assigned.
- Coordinate shipping activities for workshops and other office requirements:
- Ship materials, relevant for workshops and as required for other organization activities.
- Track shipping charges and inventory as activities occur.
- Coordinate all set-up, delivery, hosting and clean-up of workshops, both in-person and virtual deliveries.
- Maintain current certification in ASIST to provide backup support as a community support for virtual and local delivery of workshops as required.
- Work collaboratively with the organizations Finance Team for reconciliation of payments for education and other organization activities.
- Coordinate response to the online inquiries received through the organization’s data system and online in a timely manner.
- Support distribution of evaluation reports to Organizers receiving workshops, as assigned.
- Support with the implementation of organization events, including planning, set-up, delivery of materials, clean up, as requested.
- Complete other related duties as requested.
Requirements
- Minimum 1 year certificate in Office Professional, Business, or other related field required. Diploma in Office Professional, Business, or other related field is an asset.
- Minimum of 1 year recent and relevant experience to the position responsibilities.
- A combination of education and experience will be considered.
- Proficient in Office 365 programs, including Outlook, Teams, and SharePoint.
- Experience and knowledge of virtual delivery platforms, (i.e. Zoom) is required.
- Previous experience with data entry and database systems (i.e. Salesforce) is required.
- Current certification in Applied Suicide Intervention Skills Training (ASIST) is an asset.
- Ability to learn quickly, think logically and detailed, manage complex situations and demonstrate creative problem-solving skills.
- Demonstrated ability to communicate effectively in conflict situations, positive attitude, willingness to work constructively in team environment.
- Ability to be self-motivated and flexible, with the ability to manage and prioritize multiple tasks in a fast-paced environment of frequent change.
Hours
This part-time position is based on a 26.25-hour work week, over 5 days, with flexibility to work occasional evenings and some weekends. This position will work primarily in the Calgary office with limited opportunities for hybrid work. The typical work week is Monday – Friday.
